Data is critically important for any business. When an organization decides to upgrade its systems, data migration is a hard nut to crack. Many organizations are replacing obsolete Customer Relationship Management (CRM) software with cloud-based solutions like Microsoft Dynamics 365 CRM, a powerful integrated CRM feature that’s part of Microsoft 365.
There are several ways to migrate your older SQL based CRM data (like Microsoft CRM 2016, SalesLogix and many others) to the modern Microsoft Dynamics 365 CRM. You can use 3rd party tools like Scribe or SSIS packages, or CRM exported Excel data templates. Here are 3 essential tips to keep in mind when importing data using CRM exported excel data template:
1. Check each column and raw value before you perform import
- When you export data from SQL to Excel sheet, remember by default SQL generates a comma-separated value (.CSV) file. So if your records have ( , ), it will be separated and represented in a new column in the excel sheet.
- You need to check all the columns and rows before you start your import into the new Microsoft Dynamics 365 CRM.
- If you don’t, it’ll throw many error messages, and your import will fail.
- Furthermore, as Microsoft displays the errors in codes, you’ll have to figure out by reviewing a long list of errors (failures).
2. Create Lookup values before downloading export excel template
- Your exported SQL data, naturally, has lots of data that you will end up using as lookup values from your SQL table fields. Make sure you add the table values in the Dynamics 365 CRM field object before you start the Excel file import to avoid errors.
- Remember, after adding all lookup values, you’ll need to download the CRM excel sheet again.
- It will make your excel template contain the lookups with the values.
- Make sure you add all your lookup’s value first and then download the CRM excel sheet.
3. Select Do Not Allow Duplicates and Default Owner in CRM Import Job
- Each Excel record must have a CRM record owner associated with it. Also, make sure that all users (Owners) are created in CRM before assigning any record, else CRM will not import any records, again generating failures.
- When you create a CRM import job do not allow duplicate in job configuration. It will prevent duplicate entries in CRM.
- Also, you should select default owners as well. When CRM doesn’t find any owner associated with records, it’ll assign the records to the selected owner in import job configuration.
For example, if you forget to assign an owner to each record that you want to import and do not forget to select the default owner, or the job will not execute at all. On the other hand, if you forget to assign an owner in the Excel file used to import records but defined default owner in job configuration, CRM will assign all the records to the selected owner.
